As per work requirement, PSI/Vietnam currently seeks a high motivated individual to serve as Finance/Admin Officer. This position will be the full-time, 2-year contract, to be based in Hanoi and will report to the PSI’s Finance Manager
Position summary: The Finance/Admin Officer - under the supervision and guidance Finance Manager - is responsible for providing technical support in routine finance works to contribute to effective finance function with full compliance The incumbent is also responsible for ensuring an effective and professional administrative function as per the organization’s needs
Key responsibilities include but not limited to:
- Operate book-keeping in accordance with Vietnam local laws and PSI policies: review invoices and payment requests for appropriate documentation and preparation of vouchers; input of transactions into accounting system on timely and accurate basis; filing and scan accounting documents to online system;
- Work with bank to ensure proper transactions; perform bank reconciliation and prepare monthly statement of accounts.
- Entry sales invoices and perform cross check with Monitoring & Evaluation (M&E) for any discrepancy; work with sales team and M&E on monthly sales report at all level; control receivables with distributors and credit sales;
- Work with Finance Manager in handling effective internal/external audits – if any
- Serve as focal point for overall warehouse management to ensure safe, efficient and accurate operation of the warehouse functions and compliance with PSI Warehouse manual including timely flag-up supervisor for any potential problems
- Manage assets at PSI office including to monitor PSI’s portable equipment e.g. tablets, laptops. Conduct conciliation on quarterly basis.
- Assist Finance Manager in preparation of PSI’s monthly financial reports and those required by Government agencies, partners and funders.
- Ensure the professional reception to ensure tidy and well-organized reception and conference room areas, pantry/storage, etc.
- Be responsible to monitor the use of stationery and office supplies.
- Monitor office cleaning service to ensure the office maintains a professional workspace including canteen/pantry and storage.
- Support other admin tasks as appropriate and when required e.g. paperworks for PSI’s workshops, internal events, arrangement with candidates for testing...
- Serve as focal point to work with Trade Union

Selection criteria
- Bachelor’s degree in finance /accounting or similar
- At least 2-year working experience related to accounting/finance - and in INGO community - a plus;
- Proficiency in using computers and standard office software packages; experience in working with accounting software is preferrable;
- Good English written and verbal communication skills.
- Demonstrated ability of analytical thinking skills and result oriented.
- Can-do attitude with multiple-task ability
- Integrity and diligent at work and a good team player.
